5. Our lawful bases for using your information
UK data protection law requires us to have a lawful basis for processing personal information. When you contact us about potentially hiring our products and services, we generally process your information because it is necessary to take steps at your request before entering into a contract. If your enquiry becomes a confirmed booking, we may process your information because it is necessary to perform our contract with you. We may also process certain information where necessary to comply with legal obligations, including accounting and tax requirements. In some circumstances, we may rely on our legitimate interests to operate, administer and protect Twenty Six West, provided that those interests are not overridden by your rights and interests. Where processing requires your consent, such as certain non-essential advertising or tracking technologies, we will seek that consent where required.
6. Our enquiry and availability system
Our website uses an online enquiry and availability system to allow you to view flower hire packages, check availability and submit an enquiry. When you submit an enquiry, information including your contact details, wedding information, venue information, selected package and logistical requirements may be processed and stored through this system so that Twenty Six West can review and respond to your enquiry. Submitting an enquiry does not create or guarantee a confirmed booking. You may receive an automated email acknowledging that your enquiry has been received. This acknowledgement does not constitute confirmation of your booking. Your booking will only be confirmed separately by Twenty Six West in accordance with our booking process and applicable hire terms.
7. Emails and communications
We use third-party technology providers to operate our business email and transactional email services. When you submit an enquiry, we may use these services to: send you an acknowledgement of your enquiry; notify Twenty Six West that a new enquiry has been received; and communicate with you regarding your enquiry or subsequent booking. Information necessary to send and deliver these communications may therefore be processed by our email and technology providers.
8. Who we may share your information with
We use trusted third-party service providers to help us operate Twenty Six West. Depending on how you interact with us, these may include providers of: website hosting and website services; enquiry, availability and booking technology; email and business communication services; cloud hosting and data storage; accounting and bookkeeping services; IT and technical services; payment or banking services where applicable; and professional advisers where reasonably necessary. We do not sell your personal information. We may also disclose information where required by law, regulation or a competent authority, or where reasonably necessary to establish, exercise or defend legal rights.
9. International data transfers
Some of the technology and service providers we use may process or store information outside the United Kingdom. Where personal information is transferred internationally, we take appropriate steps to ensure that the transfer is handled in accordance with applicable UK data protection law and that appropriate safeguards are used where required.
10. How long we keep your information
We only keep personal information for as long as reasonably necessary for the purposes for which it was collected, including meeting legal, accounting and regulatory requirements. As a general approach: Unconfirmed enquiries: We generally retain information relating to enquiries that do not become confirmed bookings for up to 12 months after our last meaningful communication with you, unless there is a legitimate reason to retain it for longer. Confirmed bookings: Information relating to confirmed bookings may be retained for longer where necessary to administer the booking and maintain appropriate business records. Financial and accounting records: Certain invoices, payment information and business records may need to be retained for the periods required by applicable tax, accounting or legal requirements. 12. Cookies and similar technologies
Our website uses cookies and may use similar technologies. Cookies are small files placed on your device that can help websites operate correctly, remember preferences and provide information about how a website is being used. Some cookies are necessary for our website to function properly. These are generally known as essential or strictly necessary cookies. We may also use optional cookies or similar technologies for purposes such as website analytics, performance, advertising and understanding how visitors interact with our website. The ICO explains that website visitors need clear information about cookies and, where cookies aren't strictly necessary, an appropriate consent mechanism.
13. Advertising and social media
Twenty Six West may use online advertising and social media platforms, including Meta's Facebook and Instagram services, to advertise our business. We may in the future use technologies such as the Meta Pixel on our website. If enabled, these technologies can help us understand how people interact with our website after seeing or clicking an advertisement, measure the effectiveness of our advertising and help us show relevant advertising to audiences on social media platforms. Advertising technologies may process information such as: pages visited; interactions with our website; information about the device or browser being used; information associated with an advertising interaction; and whether certain website actions have taken place. We will not intentionally send the personal information you enter into our wedding enquiry form to advertising platforms unless we have an appropriate lawful basis and have provided appropriate information about that processing. At the date of this Privacy Policy, Meta Pixel is not currently active on our website. If we activate Meta Pixel or another advertising technology, we will update our privacy information as necessary and operate the technology subject to applicable consent requirements. Where consent is required, advertising and tracking technologies will not be activated for a visitor until the appropriate consent has been provided through our cookie controls. You can subsequently change your choices through the Cookie Preferences control on our website. The ICO's current guidance states that storage/access technologies used for online advertising require consent, including associated tracking and advertising measurement.
14. Website analytics
We may use website analytics to understand general information about how our website is being used and to help us improve it. At the date of this Privacy Policy, we have not connected a separate Google Analytics account to our Squarespace website. If we introduce additional analytics services in the future, we will update our privacy information where necessary and ensure that applicable cookie and consent requirements are followed.
