These Hire Terms & Conditions apply to the hire of floral arrangements, floral structures and associated items from Twenty Six West Ltd.
We know how important your wedding or event is. These terms are intended to make the booking process clear for both you and us and explain what you can expect when hiring from Twenty Six West.
Please read them carefully before confirming your booking.
1. About us

In these terms, “Twenty Six West”, “we”, “us” and “our” mean Twenty Six West Ltd.
“You”, “your” and “customer” mean the person making the booking with us.
2. Our service
Twenty Six West provides artificial floral arrangements, floral structures and associated items for hire for weddings and events.
Your individual quote or booking confirmation will set out the collection, package, hire items and services included in your booking.
Unless we specifically agree otherwise in writing, our service includes delivery and collection of the hired items and assembly and dismantling of structures where required.
Our standard service does not include venue styling or the placement and arrangement of individual floral items around your venue.
For example, we may assemble a floral arch and leave it ready for use, but we do not provide a full wedding styling service or arrange individual centrepieces, runners or ground florals into their final positions around the venue.
You, your venue, wedding coordinator or other appointed suppliers are responsible for positioning and styling individual hired items as required.
3. Making an enquiry
Submitting an enquiry through our website does not create a booking or reserve your wedding or event date.
We will review your enquiry, including availability, venue location, delivery requirements and other relevant information, before confirming whether we can accept the booking.
An automated acknowledgement confirming that we have received your enquiry is not confirmation of a booking.
4. Confirming your booking
If we are able to accept your booking, we will provide you with confirmation of the agreed hire package, price and any applicable delivery and collection charges.
A 25% booking payment is required to secure your booking.
Your booking is not confirmed and your date is not secured until we have accepted the booking and received the required 25% booking payment.
Once your booking has been confirmed, we will reserve the relevant hire inventory for your wedding or event in accordance with our availability requirements.
5. Prices
The price of your hire will be the price shown in the quote or booking confirmation issued to you.
Any delivery and collection charge will be clearly stated before you confirm your booking.
Unless otherwise stated, the security of a booking, delivery arrangements or other additional services are not included merely because they have been discussed informally. Any agreed additional charges or services will be confirmed with you.
We will not increase the agreed price of your confirmed booking unless you subsequently request and agree to a change that affects the price.
6. Payment
A 25% booking payment is due when your booking is confirmed.
The remaining 75% balance is due no later than six weeks before your wedding or event date.
We will provide payment instructions separately.
If your booking is made within six weeks of your wedding or event date, the full amount may be payable when the booking is confirmed.
If payment is not received when due, we will contact you and give you a reasonable opportunity to make the outstanding payment.
If payment remains outstanding, we may ultimately treat the booking as cancelled by you. We will not do so without first making reasonable attempts to contact you.
7. Cancellation by you
We understand that circumstances can change and that cancelling a wedding or event can be difficult.
If you need to cancel your booking, please tell us in writing as soon as possible by emailing info@twentysixwest.com.
Because we reserve hire inventory and availability specifically for your date, cancellation may result in a cancellation charge.
As a guide, the maximum cancellation charge will normally be:
More than 12 weeks before the wedding/event: up to 25% of the total agreed hire price.
Between 6 and 12 weeks before the wedding/event: up to 50% of the total agreed hire price.
Less than 6 weeks before the wedding/event: up to 100% of the total agreed hire price.
These percentages are maximum amounts and are not intended to operate as automatic penalties.
Any amount retained or charged will take into account the losses Twenty Six West reasonably suffers as a direct result of the cancellation, including relevant costs already incurred, together with costs we save by no longer providing the booking and our ability to hire the relevant inventory to another customer.
We will take reasonable steps to reduce our losses where possible.
Where our actual reasonable loss is lower than the applicable maximum cancellation charge, the cancellation charge will be reduced accordingly.
Where you have already paid more than the cancellation amount properly due, the appropriate balance will be refunded to you.
Nothing in this section affects your statutory rights.
8. Changing or postponing your date
We understand that weddings and events sometimes need to be postponed.
We will normally allow one change of wedding/event date, subject to availability.
Payments already made will be transferred to the rearranged booking.
The new wedding or event date must normally take place within 12 months of the original date, unless we agree otherwise in writing.
We cannot guarantee availability for a replacement date.
If we cannot accommodate the requested new date, we will discuss the available options with you. If the booking is ultimately cancelled, the cancellation provisions above will apply taking account of the circumstances and our reasonable losses.
Any significant change to the collection, package, venue, delivery requirements or other elements of the booking may result in a revised price, which we will agree with you before the change is confirmed.
9. Delivery
Twenty Six West provides delivery within the areas we serve, subject to availability and agreement.
Any delivery and collection charge will be stated in your quote before you confirm the booking.
We will agree delivery arrangements with you in advance.
Delivery will normally take place within an agreed delivery window rather than at a guaranteed exact minute unless we have specifically agreed otherwise.
You are responsible for providing accurate venue information and telling us about relevant access restrictions, parking restrictions, stairs, loading restrictions, time restrictions or other circumstances that could reasonably affect delivery.
You must ensure that we have suitable and lawful access to the venue at the agreed time.
10. Assembly
Where a hired structure requires assembly, such as a floral arch, Twenty Six West will assemble it as part of the agreed delivery service.
We will leave assembled structures ready for use.
Assembly does not include styling the wider venue or positioning individual floral arrangements unless we have specifically agreed otherwise in writing.
The customer, venue and other suppliers should not dismantle our structures unless Twenty Six West has specifically agreed that they may do so.
11. Placement and styling
Unless specifically agreed otherwise, Twenty Six West does not provide a venue styling service.
Once delivered, individual arrangements such as centrepieces, table runners and ground florals may be positioned by you, your venue, wedding coordinator or other suppliers.
Anyone handling our hired items must take reasonable care of them and follow any instructions we provide.
Hired items must not be permanently altered, cut, glued, pinned, stapled, painted or otherwise modified without our prior permission.
12. Collection and dismantling
We will agree collection arrangements with you in advance.
Where structures such as arches require dismantling, Twenty Six West will dismantle them as part of collection.
Unless otherwise agreed, all other hired items should be gathered together, reasonably accessible and ready for us to collect during the agreed collection window.
You must ensure that we have suitable access to the venue for collection.
If we cannot collect because the venue is inaccessible, the items are not available or another circumstance within your or the venue's reasonable control prevents collection, we will contact you to arrange an alternative.
Where an additional journey or other additional cost is reasonably necessary as a result, we may charge the reasonable additional cost incurred. We will explain any such charge.
13. Set-up and collection timings
Depending on your venue arrangements, delivery and assembly may take place the day before your wedding/event or on the morning of the wedding/event.
Collection may take place after the event or on the following day, depending on the arrangements agreed with you and your venue.
The timing information provided during your enquiry helps us plan your booking but does not, by itself, guarantee a particular delivery or collection time.
Final arrangements will be agreed with you in advance.
14. Taking care of hired items
All floral arrangements, structures and other hire items remain the property of Twenty Six West Ltd at all times.
From delivery until collection, you are responsible for taking reasonable care of the hired items while they are in your, your venue's or your appointed suppliers' care.
We appreciate that hired wedding items are intended to be used and handled. Reasonable wear and tear arising from normal permitted use will not be charged for.
We do not currently require a security deposit as standard.
15. Loss and damage
If an item is lost, cannot be returned, or is damaged beyond reasonable wear and tear while it is in your care, we may ask you to pay the reasonable cost of repair.
Where reasonable repair is not possible or proportionate, we may ask you to pay the reasonable cost of replacing the affected item or component.
We will not make arbitrary damage charges. Where we seek payment for loss or damage, we will explain what has happened and how the amount has been calculated.
We will take into account the nature of the damage, whether repair is possible, the affected component and the reasonable replacement or repair cost.
You will not be charged for reasonable wear and tear or for damage caused by Twenty Six West.
16. Outdoor use
Our hired florals and structures may be used outdoors where the weather, ground and venue conditions are suitable and safe.
Outdoor use is always subject to appropriate conditions.
Structures and floral arrangements must not be used or left outdoors where conditions could reasonably make them unsafe or cause significant damage, including strong winds, severe weather, flooding or unsuitable ground conditions.
Twenty Six West reserves the right not to assemble or leave a structure in a location where we reasonably believe doing so would be unsafe.
Where possible, we will work with you and your venue to identify a practical alternative location or arrangement.
If weather conditions deteriorate after delivery, you and your venue must take reasonable steps to protect the hired items and follow any reasonable instructions we have provided.
You should not attempt to move or dismantle large structures such as floral arches unless we have specifically confirmed that it is appropriate to do so.
Where hired items are damaged because they have been left in clearly unsuitable conditions or used contrary to reasonable instructions we have provided, the loss and damage provisions above may apply.
17. Venues and third parties
You are responsible for ensuring that your venue permits the delivery, assembly, use and collection of our hired items.
Please discuss our involvement with your venue in advance where necessary.
Twenty Six West is not responsible for the acts or omissions of your venue, wedding coordinator, guests or other suppliers.
However, this does not affect our responsibility for the services that Twenty Six West itself has agreed to provide.
18. Photographs and appearance
We take care to present our collections accurately.
However, artificial floral arrangements are three-dimensional, reusable products and minor variations in positioning, shape and appearance can naturally occur between photographs and actual use.
Individual stems and arrangements may occasionally need maintenance or replacement over time.
Where an individual component becomes unavailable or unsuitable, we may use a reasonably comparable component that maintains the overall character, quality and appearance of the collection.
We will not make a material change to the overall collection or package you booked without discussing it with you where reasonably possible.
19. If something goes wrong before your wedding
We understand the importance of your wedding or event and will use all reasonable efforts to fulfil every confirmed booking.
If an unexpected problem occurs, our priority will be to find a practical solution rather than cancel your booking.
Depending on the circumstances, this could include arranging alternative transport, adjusting delivery arrangements, repairing or replacing an affected component, providing a reasonably suitable alternative item where appropriate, or making other reasonable arrangements to fulfil the booking.
We will communicate with you as soon as reasonably possible if an issue arises that could materially affect your booking.
20. If Twenty Six West is unable to fulfil the booking
Cancellation by Twenty Six West would be a last resort.
If circumstances mean that we cannot provide some or all of the agreed hire service, despite taking reasonable steps to find an alternative solution, we will tell you as soon as reasonably possible.
If we are unable to provide a particular part of the agreed service, you will receive an appropriate refund for the part we cannot provide.
If, as a last resort, we are unable to fulfil the booking as a whole, we will refund the amounts you have paid to Twenty Six West for the booking.
Nothing in these terms limits any additional rights or remedies you may have under applicable consumer law.
21. Events outside our reasonable control
Sometimes events may occur that neither you nor Twenty Six West could reasonably prevent or control.
These might include severe weather, flooding, major road closures, government restrictions, serious transport disruption, venue closure or other exceptional events.
If such an event affects your booking, we will contact you as soon as reasonably possible and work with you to try to find a fair and practical solution.
Depending on the circumstances, this could include changing delivery arrangements, postponing the booking, agreeing an alternative arrangement or, where performance is genuinely impossible, cancelling some or all of the booking.
Your legal rights, including any rights to a refund where applicable, are not affected by this section.
22. Our responsibility to you
Twenty Six West will provide its services with reasonable care and skill.
Nothing in these terms excludes or limits liability where it would be unlawful for us to do so, including liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or your statutory consumer rights.
We are responsible for losses that are a foreseeable result of our breach of these terms or our failure to use reasonable care and skill.
We are not responsible for losses that are not reasonably foreseeable or for losses caused by circumstances for which we are not legally responsible.
These terms do not affect the rights you have under applicable consumer law.
23. Customer information
You are responsible for making sure that the information you provide to us about your wedding/event, venue, dates, access and contact details is accurate.
Please tell us promptly if anything relevant changes.
We are not responsible for problems caused solely by materially inaccurate information supplied to us where we could not reasonably have known that the information was incorrect.
24. Changes to your booking
If you would like to change your package, collection, venue, delivery arrangements or another material part of your booking, please contact us as soon as possible.
Changes are subject to availability and feasibility.
If a requested change affects the price, delivery charge or other terms of the booking, we will tell you before agreeing to the change.
No change is confirmed until it has been agreed by Twenty Six West.
25. Personal information
We process personal information in accordance with our Privacy Policy, which is available on our website.
Our Privacy Policy explains what information we collect, why we use it, how long we retain it and your data protection rights.

We would always prefer the opportunity to understand the issue and try to resolve it fairly.
Nothing in this section prevents you from exercising any rights or remedies available to you under applicable law.
27. Your statutory rights
These terms are intended to work alongside, and not replace or restrict, your statutory consumer rights.
Among other protections, consumer law requires hired goods to meet applicable standards and services to be provided with reasonable care and skill.
Nothing in these Terms & Conditions excludes or restricts rights that cannot lawfully be excluded or restricted.
28. If part of these terms is unenforceable
If a court or other competent authority decides that a particular provision of these terms is unlawful or unenforceable, the remaining provisions will continue to apply so far as legally possible.
29. Governing law
These terms and your booking are governed by the laws of England and Wales.
If you are a consumer resident in another part of the United Kingdom, you may also have rights to bring proceedings in the courts applicable to where you live.
